What You Will Be Doing

We are looking for an individual who began his career as a Maintenance Technician and worked his way up into a Supervisory Role, monitoring and checking the work of a Team of 5-10 Maintenance Technicians. Our Maintenance Technicians are very well rounded and experienced Tradesmen, so we are looking for an individual with Hands-On Experience in All of the Trades including: Plumbing, Electrical, Carpentry, Masonry, Roofing, Painting, Drywall, Framing, HVAC, and Boilers. This individual will spend 30% to 40% of their time doing administrative tasks and paperwork in the office, and 70% to 60% of their time supervising the Maintenance Technicians in the Field. It is important that this individual has Administrative Experience and knows Microsoft Word, Excel, and Outlook, the three programs our company utilizes the most. The majority of our properties are in Mid-Town Manhattan with a few in Brooklyn and Queens, so this individual must be open to traveling throughout New York City using Public Transportation (a Metro Card will be provided.)

Assist with Maintenance Department activity, including:

  • Supervision of Maintenance Department employees (approximately 15), including:

  • Assess work necessary at Property, and create scopes of work for Work Orders and materials lists for Purchase Orders;

  • Assign Work Orders to Maintenance Department employees;

  • Follow-up regarding the status of Work Orders assigned to Maintenance Department employees; and

  • Inspect Work Orders completed by Maintenance Department employees.

  • Supervision of Company vendors, including:

  • Secure and manage business relationships with vendors;

  • Prepare scope of work for proposals;

  • Request proposals for work;

  • Contract negotiation;

  • Assign work to vendors;

  • Follow-up regarding the status of work assigned to vendors; and

  • Inspect work completed by vendors.

Administration of Move Out Reports, including:

  • Diligently inspect or assign the inspection of vacant units for condition;

  • Follow-up regarding the status of assigned inspections;

  • Prepare Move Out Reports based upon inspections, according to Company standards; and

  • Submit Move Out Reports for approval.

  • Administration of key boxes.

  • Provide access to vendors and government agencies, at Company's request.

  • Property inspections.

  • Prepare records and reports.

  • Retrieve records from government agencies and other entities.

  • Assist in Administrative activity for the Company, including:

  • Coordination of meetings and events, including preparation, attendance, documentation, and implementation of action items; and

  • General office duties, including scanning and mail processing.

  • Assist in Leasing Department activity for the Company, including apartment showings & open houses.

  • Assist in Tenant Relations Department activity for the Company, including posting notices and policy enforcement.

  • Attend legal and administrative hearings and audits relating to the Company or Property.

  • Serve as the Managing Agent for Company, as deemed necessary by Company.

  • Special Projects as Assigned

What You Need for this Position

  • Education: High School diploma (or higher)

-Licenses: Notary License: preferred (not required)

  • Experience in the Real Estate or related industry: Five (5) years (or more)

  • Knowledge of all trades, including: Plumbing (rough and finish), Electrical (rough and finish), Carpentry (rough and finish), Painting, Sheetrock, Roofing, Boilers (light), Masonry

Supervisory Experience: Five (5) years (or more)

  • Microsoft Word: Intermediate skill level

  • Microsoft Excel: Intermediate skill level

  • Microsoft Outlook: Intermediate skill level

  • Good time-management skills

  • Ability to multi-task

  • Enjoy working in fast-paced environment

  • Not flustered by urgent requests
